Position Summary

The Personal Injury Intake & Client Care Specialist’s main objective is interacting with prospective clients to ensure the prompt signing of appropriate personal injury cases and establishing a quality relationship between the prospective client and the firm. This role is hybrid with an office in San Francisco, CA.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Promptly and professionally answer a high volume of inbound inquiries.
  • Respond to potential clients via phone, email, chat, and text.
  • Coordinate intake meetings between attorneys and potential new clients.
  • Perform client relation responsibilities to ensure customer satisfaction.
  • Provide support during client consultation.
  • Prepare case files for new cases.
  • Enter case details of new cases into case management software (FileVine).
  • Follow up on potential leads.
  • Prepare representation agreements.
  • Ensure clients receive transportation services or other requests.
  • Provide customer service to potential new clients as needed.
  • Keep detailed notes regarding interactions with potential new clients with lead software (Lead Docket).
  • Train new intake team members.
  • Provide quarterly data reports on potential new clients.
  • Answering inbound phone calls and placing outbound calls with stellar customer service, professionalism, enthusiasm, and compassion.
  • Obtain evidence from the client at the time of the initial in-person interview, including photos of injuries, relevant documents, etc.
  • Assist in locating missing/unreachable clients and potential new clients.
  • Monitor deadlines for potential new clients.
  • Perform other duties as assigned by Management.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Prior legal intake experience preferred.
  • Strong customer service and sales skills.
  • Strong verbal, interpersonal, and written communication skills.
  • Ability to multitask with interruptions in a fast-paced environment.
  • Good organizational, time management, and problem-solving skills.
  • Ability to exercise flexibility, initiative, good judgment, and discretion.
  • Winning attitude.
  • Ability to exhibit compassion, empathy, and professionalism when communicating with potential and current clients.
  • Ability to work alone as well as part of a team.
  • Excellent attention to detail.
  • Ability to manage their time and multi-task effectively.
  • Ability to maintain composure and professionalism under pressure.
Required Skills & Education
  • High School Diploma is required.
  • 0-2 years of office/professional experience.
  • Proficient in MS Office and Excel.
  • Bachelor’s degree is preferred.
  • Ability to multi-task.
  • Strong organizational skills.
  • Excellent communication skills, in person and over the phone.
  • Prior experience with Lead Docket is preferred.
  • Ability to work occasional overtime.
